Affiliate Application Privacy Notice

This notice supplements our Privacy Policy and explains how BARBARIAN GOLD® processes personal data when someone applies to become an affiliate, ambassador, creator, or partner.

Data we may process

When you apply, we may process your name, email address, phone number if provided, public social profile links, website links, portfolio links, media kit links, audience size, engagement information, audience location, promotion channels, campaign ideas, application statements, communication history, disclosure acknowledgement, review notes, application decision, and fraud or security signals.

Purposes

We use application data to review your application, assess brand fit, verify authentic reach and audience relevance, communicate with you, prevent fraud and abuse, document decisions, prepare a possible partnership, and administer approved partnerships.

Legal bases for EU/EEA applicants

The legal basis is usually pre-contractual steps at your request where the application may lead to a partnership, our legitimate interests in selecting suitable partners and protecting the brand from abuse, and legal obligations where tax, accounting, fraud prevention, or legal documentation is required. Consent is used only where a separate consent is legally required.

What not to submit

Please do not submit private audience lists, private messages, customer data, passwords, login details, confidential third-party data, attachments, ZIP folders, executable files, cloud download links, login-protected links, or unnecessary personal data. Public profile links, website links, portfolio links, and short written summaries are usually enough for the first review.

Recipients and tools

Application data may be processed through Shopify, email and customer support tools, affiliate or ambassador administration tools if enabled, fraud-prevention services, IT hosting providers, tax advisors, accounting providers, and legal advisors where necessary.

Retention

Rejected or inactive applications are normally kept only as long as necessary for review, follow-up, fraud prevention, and legal documentation, and are usually deleted or minimized within 12 months unless a longer period is required for legal claims, security, abuse prevention, or statutory duties. Approved partner data may be kept for the duration of the partnership and for applicable statutory retention periods after it ends.

Your rights

Depending on your location, you may have rights to access, correct, delete, restrict, port, or object to the processing of your personal data, and to withdraw consent at any time for future processing. You may also have the right to lodge a complaint with a data protection authority.
